Job Description

STATEMENT OF PURPOSE (Job Summary):

Administrative Assistant will perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our manages and employees, assisting in daily office needs and managing general administrative activities as directed.

SKILLS/QUALIFICATIONS:

  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills.
  • Proficient in MS Office with strength in Excel.

  • Employee has an individual responsibility for knowledge of and compliance with laws, regulations, and policies.
  • High school diploma or equivalent; college degree preferred.


DUTIES AND RESPONSIBILITIES:

  • Answer phones and handle customer service issues for FS Parts Division as needed.
  • Help set up new item numbers in operating system. Primarily for FS Parts Division but can cross over into Tanning and Beauty Products as well.
  • Set up new items offered on Amazon, Walmart, eBay and website with descriptions, graphics and make/model data as required.
  • Update inventory file on website daily.
  • Key orders from website into operating system.
  • Upload tracking information for shipment of website orders.
  • Upload freight data from carriers to operating system.
  • Prepare purchase orders for FS Parts inventory purchases including dropship from vendors.
  • Prepare eBay payments for posting into the operating system by identifying specific orders and reconcile the total to payments received.
  • Track and manage credit requests from vendors for discrepancies in shipments, including damaged or defective items, ensuring timely resolution and accurate credit issuance.
  • Provide assistance in pricing negotiation, item research, and technical support with their customers.
  • Communicates with assigned vendors to obtain product information, such as price, availability and delivery schedule.
  • Maintain Item Master File information for all assigned vendors’ product offerings including pricing, dimension, weight, ounces, general description, etc.
  • Assist with generating Search Engine Optimization (SEO) Content for various products and website platforms. 
  • Participate in proofing data on websites or any other marketing material as needed. 
  • Reconcile expense accounts to General Ledger balances. 
  • Prepare communications such as memos, emails, invoices, reports and other correspondence as requested.
  • Handle sensitive information in a confidential manner.
  • Other duties as reasonably assigned.


WORK ENVIRONMENT:

This job operates in a temperature-controlled office environment. Casual dress attire. This role routinely uses standard office equipment such as computers, phones, photocopiers, fax machines, camera/video props and equipment.


PHYSICAL DEMANDS:

Visual acuity, speech, hearing, and hand and eye coordination required. Manual dexterity required to operate a computer keyboard and basic office equipment. Subject to long periods of sitting with repetitive use of hands, fingers, wrists. Must be able to lift up to 20 lbs., bend, stoop, kneel, crawl, twist, and reach.
